Gebruik Microsoft Exchange Online zonder Sign In Client

Microsoft Exchange Online is een fantastische dienst en de opvolger, Office 365, wordt zelfs nog beter maar de verplichte Sign In Client software vind ik nogal vervelend. Daarom heb ik geprobeerd om Outlook te gebruiken zonder deze Sign In Client en na enig uitzoekwerk is dit me gelukt. Tip: Check voordat je de client verwijderd even je Exchange serverinstellingen!

Het enige probleem dat ik tegenkwam, was het feit dat Outlook mijn wachtwoord niet wilde onthouden, ondanks het feit dat ik de optie ‘Remember my credentials’ had ingeschakeld. De oplossing hiervoor is gelukkig eenvoudig:

Open de de Credentials Manager in Windows 7 en verwijder:
- SERVERNAAM.red002.local
Voeg het volgende toe:
- *.red002.local
- red002.mail.emea.microsoftonline.com
Vul als gebruikersnaam je email adres in. Het wachtwoord is je Exchange account wachtwoord.

Let er wel op dat je op deze manier je wachtwoord alleen kunt wijzigen via het Microsoft Online Services Administration Center.

Outlook en Exchange server; meerdere afzender adressen

Hoewel de onderstaande tip ook voor anderen heel handig kan zijn, is deze vooral bedoeld als geheugensteuntje voor mezelf :)

Question: How do I setup Virtual Accounts in Outlook 2003

Procedure:

With Outlook 2003 opened:

In Menu item ->Tools select ->E-mail Accounts
(which will open the “E-Mail Accounts” window)

With “Add a new e-mail account” selected
Click on the “Next >” button
(which will open the “Server Type” window)

With “POP3″ selected
Click on the “Next >” button
(which will open the “Internet E-Mail Settings (POP3)” window)

You need to fill the fields:User Information

Your Name: [your name]
E-mail Address: [reply address] this will be the from address

Server Information

Incoming mail server (POP3): POP3
(you need to put something but it will not be used)
Outgoing mail server (SMTP): SMTP.4smartphone.net

Logon Information

User Name: user (you need to put something but it will not be used)
Password: user (you need to put something but it will not be used)

Note: Don’t press on [Test Account Setting...]
It will Fail!

Click on the “More Settings …” button
(which will open the “Internet E-Mail Settings” window)

While on the “General” Tab
Change the Mail Account field to something more relevant than POP3
This will be used to select your identity to send email.
The reply address is a good choice.

Click on the “Outgoing Server” Tab
Check the “[X] My outgoing server (SMTP) requires authentication
Select the “Log on using” radio button
User name: [your exchange email address]
Password: [your 4smartphone password]

Click on the “Advanced” Tab
Change the “Outgoing server (SMTP):” to 2525 (default value is 25)

Click on the “OK” button
(which will close the “Internet E-Mail Settings” window)
Click on the “Next >” button
(which will close the “E-mail Accounts” window)
Click on the “Finish” button
(which will close the wizard windows)

In Menu item ->Tools select ->Options
(which will open the “Options” window)

Click on the “Mail Setup” Tab
Click on the “Send/Receive…” button
(which will open the “Send/Receive Groups” window)

While “All Accounts” is selected
Click on the “Edit…” button
(which will open the “Send/Receive Settings – All Accounts” window)

On the left side locate and select the POP3 account you just created
It will the name you selected in step 6.

In the Account Options section,
Uncheck the [ ]Receive mail items

Click on the “OK” button
(which will close the “Send/Receive Settings – All Accounts” window)
Click on the “Close” button
(which will close the “Send/Receive Groups” window)
Click on the “OK” button
(which will close the “Options” windows)

You are now ready to use your virtual Account to send emails using another FROM: (i.e. reply) address

Now, when you click on New Mail Message (Ctrl+N) you will notice the pull down called “Accounts”. By clicking on it you can decide which account will be used to send your e-mail. You will also notice a grey box message at the top of your email that tells you which account will be used to send your message. By default, the Microsoft Exchange Server account will be used.

Hosted Exchange op mijn smartphone

Sinds vorig jaar maak ik voor mijn e-mail gebruik van een hosted exchange dienst. Met hosted exchange staat je MS Outlook pst bestand op een externe server. Dit betekent dat je overal waar je een internetverbinding hebt je bij je e-mail kunt. Het is te vergelijken met de zakelijke e-mail servers die van MS Exchange server gebruik maken, met het verschil dat deze bedrijfs-servers meestal zó dichtgespijkerd zijn dat je er buiten het bedrijf geen gebruik van kunt maken.

Omdat ik al jarenlang gebruik maak van Microsoft Outlook (afgezien van een kort uitstapje naar het nog verschrikkelijk tekortschietende Thunderbird), was ondanks regelmatige schoonmaakacties mijn pst bestand al tot zo’n 300 megabyte gegroeid. Een behoorlijk groot bestand om regelmatig een backup van te maken. Bij mijn hosting account heb ik wel de beschikking over een webmail interface, maar in combinatie met Outlook werkt dat niet zo prettig omdat ik daarmee niet van mijn Outlook adresboek gebruik kan maken en verstuurde e-mails niet in mijn Outlook Sent Items worden opgeslagen. Ook met het oog op de veiligheid leek het me een goed idee om mijn pst bestand bij een professioneel bedrijf extern op te slaan zodat er regelmatig backups van worden gemaakt.

Zoals gezegd heb ik daarom vorig jaar een Hosted Exchange abonnement genomen bij Fasthosts. Op zich was ik hier wel redelijk tevreden over, ze boden flink wat ruimte (1 GB) en de dienst was zeer stabiel.

Onlangs heb ik echter een iMate SP5 Windows Mobile smartphone gekocht waarmee je via push-mail automatisch via de GPRS verbinding je e-mail kunt ontvangen op je mobiele telefoon (vergelijkbaar met de Blackberry dienst). Omdat Fasthosts hun MS Exchange dienst nog niet heeft geupgrade naar service pack 2 werkte push-mail helaas niet.

Gelukkig was mijn jaarabonnement bijna afgelopen zodat ik op zoek kon gaan naar een andere aanbieder en na enig speurwerk heb ik in 1and1 Hosted Exchange een goed alternatief gevonden. 1and1 maakt gebruik van Exchange service pack 2 en zodoende werkt de push-mail dienst bij hun wél. Verder bieden ze dezelfde hoeveelheid mailbox ruimte als Fasthosts, en dit alles tegen een lagere prijs.

Al met al ben ik zeer tevreden over de 1and1 Hosted Exchange dienst en ik kan deze dienst dan ook van harte aanraden.
